Deciding how many usable assets a UGC budget can support

Estimate UGC asset capacity by separating fixed costs, distinct concepts, finished exports and files ultimately approved for use.

To estimate UGC asset capacity, subtract known project costs and a change allowance from the production ceiling. Use the remainder to price distinct concepts and finished versions.

An export becomes a usable asset only when it meets its intended purpose, passes review and has the required permission. The approved count is known after delivery; the planning count is a target.

An alternate opening may increase the export count without adding a new demonstration. A product-page video and a paid social cut may also need different formats or rights. Name the intended placement before counting either as usable.

Calculate the capacity target

Start with the authorised production amount. Deduct fixed costs within it, such as product delivery, specialist props and internal editing. Then set aside an allowance for approved changes; the balance funds quoted outputs.

Keep any editing cost already included in a supplier quote out of the fixed-cost deduction, so it is not counted twice.

For arithmetic only, take an A$3,000 ceiling, A$400 in fixed costs and an A$200 change allowance. That leaves A$2,400 for commissioned outputs. At a hypothetical A$800 per finished demonstration, the plan can order three demonstrations. These invented figures are not market rates or supplier offers.

An alternative use of the same A$2,400 is two demonstrations at A$800 each plus four finished variations at A$200 each. That targets two concepts and six exports. It does not promise six approved usable assets.

Choose between the plans by the buyer questions and placements that need coverage, not the larger file count.

Check the quote against the target

Confirm what happens if a first cut needs correction, a product arrives late or a placement needs another format. If required work is excluded, obtain its option price or reduce the planned count before committing the ceiling. Do not spend the change allowance twice.

Shared filming can sometimes support several openings or exports, but confirm what will actually be filmed and delivered. A new product or buyer question may require another shoot. Use the supplier’s quote for the planned combination rather than assuming a generic cost per file.

Give each proposed asset a row with its buyer question, source concept, required export, placement, quoted cost and approval owner. Mark essential items and optional variations.

At delivery, replace the target export count with the approved count after checking the product, visible action, speech, captions and permissions. The ACCC's guidance on false or misleading claims states that it accepts reports about possible misleading or false claims and can require businesses to back up claims they make about their products or services. It does not resolve individual disputes about misleading claims or provide legal advice.

If at least one asset qualifies, divide the actual production spend within this budget by the approved usable-asset count to calculate the realised cost per usable asset. Use the same cost boundary as the original plan.

If none qualifies, that unit cost is undefined. The result informs the next production estimate; it does not measure creative performance.
