Preparing replacement creators for missed shoots
Prepare a truthful backup concept, confirm a replacement creator’s booking and reset delivery after a missed shoot.
Prepare for a missed creator shoot by keeping the work transferable: current product facts, a versioned brief, asset requirements and a decision owner. If the shoot falls through, confirm a replacement’s availability and terms before handing over the work they can still complete properly.
Decide what needs cover
Identify the missing asset and the latest first-cut date that still allows review. Separate essential requirements from preferred creative choices.
If the original concept depends on one creator’s personal experience, another person cannot repeat it as their own. Keep the buyer question if it still matters, but develop a truthful way for the replacement to answer it.
Check whether the replacement can gain the product experience the concept needs within the available time. A first-use demonstration can be described as first use; it should not imply a longer history.
Confirm a booking
Agree on the exact output, fee, availability, product delivery, feedback, deadline and intended use. Check the creator can film the required action and deliver the agreed format. A shortlist or informal expression of interest is not reserved capacity.
Handover question / Decision
- Can filming start after receipt of the correct unit?
- Confirm the receipt and filming window.
- Can the concept be made truthfully?
- Adapt any personal account that cannot transfer.
- What work and use are agreed?
- Record deliverables, revisions and permission terms.
- Who resolves a conflict?
- Name one brand contact.
If the replacement also changes an existing agency or contractor arrangement, document the agreed variation.
Send a complete handover
Send the current brief version, exact product identification, approved facts and claim limits, essential shots, required files, review dates and contact. Include the proposed placement so the creator understands what the footage needs to explain. Confirm whether the product is already with them, must be sent or can be collected under the agreed arrangement.
Ask the creator to flag a mismatch before filming. The ACCC provides guidance on avoiding false or misleading claims and can require businesses to back up claims made on social media. A different variant needs a revised brief and review of the proposed use; it should not quietly fill a schedule gap.
Reset the campaign promise
Recalculate first cut, feedback and final decision against the remaining schedule. If the remaining time will not support the asset, agree on a narrower deliverable or move the campaign need. Record who made the decision.
Review the replacement’s exact export against the brief. Keep the booking and approval record with the new file.
